Abstract submission guidelines

1/ Scientific abstracts (oral presentations and e-Posters) must be submitted exclusively online by the submission deadline, 01 June 2026.Prior to the submission deadline, abstracts may be accessed and edited by the presenting author.

2/ Abstracts submitted by post, fax, or to any email address (regardless of whether it is associated with the Congress and/or Ralcom Exhibitions SRL) will not be considered for evaluation or inclusion in the scientific program.

3/ Authors of submitted abstracts must register for the Congress and pay the participation fee. until 01 July 2026.

Abstracts whose presenting author is not registered as a Congress participant will not be included in the final scientific program.

4/ Abstracts must be submitted in both Romanian and English and must not exceed 250 words for each language version.

Authors are responsible for ensuring that their abstracts comply with the word limit prior to submission. The submission form is configured not to accept abstracts that exceed the specified limit. It is recommended that abstracts be prepared in a Word document in order to use the Word Count function and ensure compliance with the allocated number of words. Author names and affiliations are not included in the 250-word limit.

5/ For abstracts presenting the results of research or studies, the content must be informative and include:

a) Study objective;

b) Material and Methods;

c) Results

d) Conclusions

6/ For abstracts presenting clinical cases, these should address conditions that are rarely encountered in clinical practice or newly introduced and infrequently used therapeutic options. The content must be informative and include:

• Introduction / Background – a brief overview of the clinical condition presented in the case, highlighting what is unusual or noteworthy about it;

• Clinical case presentation – details regarding the case, investigations, treatment, and outcomes;

• Discussion – a brief overview of existing literature related to the case, highlighting the significance of the described clinical condition, along with explanations regarding the applied treatments and their outcomes;

• Case uniqueness – what makes this case rare and the key take-home messages.

7/ The content of the presentation delivered during the Congress must follow the same structure as the submitted abstract.

8/ Abstract preparation:

• The abstract title must be written in both Romanian (using diacritics) and English. It should be concise (maximum 25 words) and clearly reflect the content of the abstract with maximum accuracy and clarity;

• The body of the abstract must be written using diacritics and must not include charts, photographs, or figures. The text should be written as a continuous paragraph, without indentation or additional formatting;

• Abstracts will be published as submitted, without editorial revision. Authors are responsible for ensuring that the text is free of spelling or grammatical errors and that diacritics are used correctly;

• All abbreviations must be defined at first use in the text. Abbreviations that are not consistent with internationally accepted standards should not be used;

• In accordance with the regulations of the Romanian College of Physicians, the use of commercial drug names or company names is not permitted in submitted abstracts (title or content). The title and content must be free of any commercial bias, and any reference to medicinal products must use only the International Nonproprietary Name (INN).

9/ The number of co-authors is limited to a maximum of 9. The total number of authors, including the presenting author, must not exceed 10.

If the same author submits multiple abstracts and some co-authors appear in more than one submission, the authors’ first names must be written consistently in all cases in order to avoid potential errors in the abstract book index and in the certificates of presentation.

10/ References are not mandatory. If the author chooses to include bibliographic references, no more than two references may be cited at the end of the abstract.

11/ By submitting scientific abstracts, authors declare that:

- Confirm that the works have not been previously presented at scientific meetings or published in national or international scientific journals.

- Assume full responsibility for the accuracy of the information presented.

- Have reviewed and agree with the content of the submitted abstract.

- Authorize the PCO company – Ralcom Exhibitions SRL to publish information related to the submitted scientific abstract in any materials associated with the SRCCV 2026 Congress.

12/ Authors will be notified of abstract acceptance starting from 15 June 2026.
